How do you set up recurring monitoring rounds without starting over each time?

Deploy the same survey against the same sites on a repeating cycle, so each round adds to a facility's history instead of creating a parallel dataset. Baseline, midline and endline then become filters on one dataset rather than three separate exercises.

Why this matters

Repeat monitoring is where most information systems quietly break. A new form is designed for round two, the site list is rebuilt from a spreadsheet, and suddenly the two rounds cannot be compared, which is exactly the comparison the ministry or the funder asked for. Keeping one survey and one site inventory across rounds is what makes trend reporting possible at all, and it makes each subsequent round far cheaper to run.

How to do it

  1. Keep one survey design across rounds and version it carefully, rather than copying it per round.
  2. Link every response to a site so rounds accumulate against the same facilities.
  3. Record the monitoring date explicitly so you can group and compare by month, quarter or year.
  4. Deploy to the teams doing this round, reusing the organization branches you already set up.
  5. Build charts that plot the indicator over time, then filter by district to see who is improving.
  6. Check coverage each round: which sites were not visited is as important as the results from those that were.
